Visa Invitation Letter

Do you require a Visa letter to enter Spain?

Participants are required to make their own arrangements for visas if necessary.

Please note the visa invitation letter does not exempt attendees from complying with all requirements regarding registration and payment for their participation, accommodation and travel. The IUAI 2026 Organisers take no responsibility should entry be denied by the Spanish Government. Find more information on the visa application process here.

The invitation letter will be enclosed within your confirmation email after submitting your registration.

Accommodation

The conference will be held at the Hotel Meliá Seville, where a special delegate rate of 193 EUR per night (subject to 10% VAT) has been secured for the main conference days. Please note that accommodation, flights, and transportation are not included in the registration fee. Each delegate is responsible for arranging and covering these costs themselves.

Delegates wishing to stay at the conference hotel will receive a dedicated booking link in their registration confirmation email. This link must be used to access the negotiated rate and to ensure inclusion on the IUAI rooming list.

Please note that rooms at Hotel Meliá Seville are limited and will be allocated on a first-come, first-served basis. Bookings made via third-party websites will not be eligible for refunds or rate adjustments.

First-timer Attendance

To encourage wider participation across the industry, IUAI is pleased to introduce special discounted rates for companies that bring a first-time attendee to the upcoming IUAI Annual Members’ Conference.

Each company will be eligible for one discounted-rate registration for every one standard delegate registration. There is no limit to how many first-time attendees a company may register, provided the same number of standard registrations are submitted.

Please note that this discounted rate is only available for delegates who have never attended an IUAI Annual Members’ Conference or AGM.

Instructions on how to register a first-time attendee will be provided in your confirmation email. 

Agenda 

The conference will begin on Monday, 1st June, with an informal buffet lunch for delegates and partners, followed by the formal opening.

Plenary sessions will take place on:

  • Monday: Afternoon

  • Tuesday: All day 

  • Wednesday: Morning (closing sessions) 

Following the final session on Wednesday, a grab-and-go lunch will be provided. An optional tour for delegates and partners will take place on Wednesday afternoon.

Payment

Transactions for this event will be handled by TFI Lodestar Ltd on behalf of IUAI. Your bank statement will show TFI Lodestar Ltd, a UK-registered company (Company Number: 01845643), located at 24 Patcham Terrace, Battersea Exchange, London, SW8 4EY, UK. Payments are collected in full at checkout.

If you encounter an error code, it may require contacting your bank to authorize the transaction if the total amount is unusually large for your account.

Registration Cancellation Terms

All registration cancellations must be received in writing at Registration.IUAI@tfilodestar.com. Please note registration cancellation deadlines below:

  • Within 48 hours of booking a full refund will be given minus a €30 admin charge.
  • Before 30th April 2026 a 50% refund will be given minus a €30 admin charge.
  • From 30th April 2026 no refunds will be given.
  • Name changes/substitutions can be made at any point without charge

Refunds will be credited within 10 working days after the confirmation of receipt of the cancellation request. Please note: cancellations due to visa refusals will be refunded according to the policy above. It is your responsibility to allow for enough time for your visa request to be accepted.
